School Holiday Program Policies

1. Booking & Payment

  • Full payment is required at the time of booking to secure a place in the program.

  • Spaces are limited and allocated on a first-come, first-served basis.

  • If a session is fully booked, a waitlist option may be available.

2. Cancellations & Refunds

  • Cancellations made at least 14 days before the program start date are eligible for a full refund (minus an admin fee).

  • Cancellations made within 7-13 days of the program start date will receive a 50% refund.

  • Cancellations within 6 days of the program start date are non-refundable.

  • If a participant is unable to attend due to illness, a credit may be offered for a future program (subject to availability).

  • In the unlikely event that Grow Explore Learn cancels a session, a full refund or credit will be offered.

3. Age & Participation Requirements

  • Programs are designed for primary-aged students (specific age groups vary per program).

  • Participants must be within the specified age range at the time of attending the program.

  • Grow Explore Learn reserves the right to refuse entry to a child who does not meet the age requirements.

4. Drop-Off & Pick-Up

  • Drop-off is available from 9:00 am. Parents/guardians must sign their child in upon arrival.

  • The program runs from 9:30 am to 3:00 pm daily.

  • Pick-up is until 3:30 pm. Parents/guardians must sign their child out upon collection.

  • Late pick-ups beyond 3:30 pm may incur an additional fee.

5. Behaviour Expectations

  • All participants are expected to behave respectfully towards staff and other attendees.

  • Disruptive or unsafe behaviour may result in temporary removal from an activity or, in extreme cases, dismissal from the program without a refund.

  • No bullying, aggressive behaviour, or inappropriate language will be tolerated.

6. Health & Safety

  • If your child is feeling unwell, they should not attend the program.

  • Parents/guardians must provide relevant medical information and emergency contacts upon registration.

  • Any required medications (e.g., asthma puffers, EpiPens) must be supplied in a clearly labelled container and given to staff upon arrival.

  • Staff are trained in first aid, and any incidents will be recorded and communicated with parents/guardians.

7. Food & Allergies

  • Participants must bring their own packed lunch, snacks, and water bottle each day.

  • Grow Explore Learn operates a nut-free environment to ensure the safety of all participants.

  • Sharing food is not permitted to prevent cross-contamination and allergy risks.

8. Personal Belongings

  • Grow Explore Learn is not responsible for lost or damaged personal items brought to the program.

  • Valuables (including electronics, trading cards, and toys) should be left at home unless specifically required for a session.

9. Photography & Media Consent

  • Photos and videos may be taken during the program for promotional purposes.

  • Parents/guardians must provide consent during registration if they agree to their child being included in marketing materials.

  • If a parent does not consent, their child will not be included in any photos or videos.

10. Special Needs & Additional Support

  • If your child has special needs or requires additional support, please contact Grow Explore Learn before booking to discuss accommodations.

  • While we strive to create an inclusive environment, some activities may not be suitable for all children, and additional support staff may be required.

11. Contact Information & Communication

  • Parents/guardians must provide accurate contact details at registration.

  • If an emergency arises, staff will contact parents/guardians immediately.

  • Program updates, reminders, and important notifications will be sent via email or SMS before and during the program.
